Epicentre is an organisation created by Médecins Sans Frontières (MSF) in 1986. We conduct field epidemiology, training, and research activities for MSF interventions. Our activities for populations in precarious situations are led from Uganda, Niger, and France, and through the programs of MSF and others. They mainly concern infectious diseases and undernutrition.
Epicentre works regularly on emerging and epidemic-prone infectious diseases. Examples include Lassa Fever and Ebola among others. As a part of these projects, the Epicentre Data Science Team (Epi-DS) provides essential contributions. This dynamic full-time post based in Paris offers an exciting opportunity to work with the Epi-DS Team at Epicentre and in close collaboration with MSF.
Principal Responsibilities
We are seeking to appoint an experienced Project Coordinator to be responsible for the administration and co-ordination of the Epi-DS projects and associated staff. She/he will be based at Epicentre, Paris, and will work with the Head of Epi-DS at the strategic level to ensure the projects reach their objectives and expected impacts.
The post will include periodic overseas travel to support specific Epi-DS projects. The major tasks and responsibilities of the post are in the areas of team management; internal communications; project monitoring and reporting; development activities; administrative management; staff follow-up in collaboration with colleagues in the Department of Research. She/he will report directly to the Head of Epi-DS.
Main Duties (not exhaustive)
Team Management
Develop, maintain, track progress and report against the different project plans that incorporates the objectives, activities, responsible parties, dates, and key milestones of the various stakeholders.
Develop a strategy for the management of the project activities in conjunction with the Head of Epi-DS ensuring roles and responsibilities are transparent.
Establish and maintain good working relationships with Epi-DS collaborators.
Contribute to the management and development of Epi-DS and assist the staff in achieving the objectives on time, within budget, and keeping the projects in scope.
Ensure Epi-DS adherence with Department of Research policies and procedures as well as those of Epicentre
Internal communications
To develop and execute an internal communications strategy to ensure that the Epi-DS staff and collaborators are regularly informed about the objectives, activities and outputs of projects.
To liaise with project and Epicentre communications officers and develop communication materials to promote Epi-DS activities and achievements.
Ensure regular web/audio conferences to support project collaboration and interactions.
Projects Monitoring and reporting
Monitor the progress of the projects in terms of deliverables, milestones etc. using dedicated project management tools.
Organise regular progress meetings with Epi-DS staff.
Assist the Head of Epi-DS during meetings with projects collaborators (chairing, taking minutes).
Assist the Head of Epi-DS in drafting progress reports and ensuring that these are produced and submitted on time.
Development activities
Support the Head of Epi-DS in drafting, re-profiling and updating project budgets and preparing budget statements.
Support Epi-DS staff in responding to calls for proposals
Support and develop coherence with African data science groups to develop additional links and networks as well as with Epicentre staff
Administrative management
- Advise the Head of Epi-DS of potential operational and strategic problems, offer sound solutions and assist in implementing the resultant decisions.
Human Resources management
Support the Head of Epi-DS in the annual assessment forms for staff as well as ongoing objectives and key results.
Facilitate recruitment assessment process (shortlisting and interview) and assist with induction of new staff.
CRITERIA
Essential
· Higher degree or equivalent professional experience.
· Significant proven experience of management in an academic, non-governmental organization or a business with a substantial turnover.
· Excellent written and oral communication skills in English and French.
· Strong organisational skills with the ability to prioritise and delegate effectively.
· Advanced working knowledge of the MS Office Suite.
· Extensive experience of providing effective leadership in a multi-disciplinary team incorporating administration and human resources.
Desirable
· Relevant experience in low- and middle-income countries.
· Proven track record of capacity development for administrative teams in low resource settings.
· Proven ability to lead, manage and motivate a team.
· Experience of engagement with stakeholders.
CONDITIONS
· Position based in Paris
· Short-term contract : 18 months
· Starting date: as soon as possible
· Remuneration: between 48K€ and 50k€ annual gross salary payed in 13months; 25 paid leaves; 22 extra
days off, health insurance, reimbursement 50 % of public transport title, meal vouchers.
